Privacy Policy

Last updated: 5 November 2026

This policy explains how Sandhays Scale Gliding Association (“we”, “us”, “the club”) collects and uses personal information through this website, sandhays.co.uk. We are committed to handling your data responsibly and only collecting what we need to run the club website.

Who we are

Sandhays Scale Gliding Association runs this website for its members and visitors. If you have any questions about this policy or about the information we hold about you, please get in touch via our Contact page.

The information we collect

Depending on how you use the site, we may collect:

  • Account details — if you register for a member account, we store your username, email address and display name. Passwords are stored only in an encrypted (hashed) form that cannot be read by us or anyone else.
  • Member page activity — when you log in and view the members’ weather page, we record which member viewed it and when. This is used only by club administrators to understand how the members’ area is used. It is not shared with anyone outside the club.
  • Forum posts — if you post on our forum, your posts, display name and the IP address you posted from are stored, so that moderators can manage the forum.
  • Contact and enquiry forms — if you send us a message through a form on the site, we receive the information you provide (such as your name, email and message).
  • Technical and security data — like most websites, our systems automatically log technical information such as IP addresses to keep the site secure and working. This is handled by our security and anti-spam tools (see below).

How and why we use your information

  • To create and manage your member account and give you access to members’ areas.
  • To understand how the members’ weather page is used, for the club’s own purposes.
  • To run the forum and respond to messages you send us.
  • To keep the website secure and free from spam and abuse.

We do not sell your personal information, and we do not use it for advertising.

Registration and approval

New member accounts are reviewed and approved by a club administrator before they are given access to members’ areas. We do this to keep the members’ area restricted to genuine members and to prevent automated spam sign-ups.

Tools and services we use

  • CleanTalk — an anti-spam service that helps block automated spam registrations and submissions. To do this, it may check information such as the email address and IP address used on a form against its spam database.
  • Wordfence — a security service that helps protect the site against attacks, which involves processing technical data such as IP addresses.
  • Met Office — our weather page displays data supplied by the Met Office Weather DataHub. Viewing the weather page does not share your personal information with the Met Office.

Cookies

This site uses cookies that are necessary for it to work — for example, to keep you logged in when you sign in to your account. We do not use cookies to track you for advertising.

How long we keep your information

We keep member account information for as long as you remain a member or until you ask us to remove it. Member page activity logs are kept for the club’s ongoing reference and may be cleared periodically. Forum posts remain until removed by you or a moderator.

Your rights

You have the right to ask us what personal information we hold about you, to ask us to correct it if it is wrong, and to ask us to delete your account and associated personal data. To make any of these requests, please contact us via our Contact page.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with an updated date at the top.
